Data Access Profiles overview

Data Access Profiles specify the information that is available to a user or group of users. You can associate Data Access Profiles with employees in People Information. Data access profiles include:

  • Schedule Group Data Access Profiles — Specify the schedule groups that users can access. Before you can create the profile, you must configure Schedule Groups in Scheduler Setup.
  • Pattern Template Data Access Profiles — Specify the pattern templates that users can access. Before you create the profile, you must configure Pattern Templates in Scheduling Setup.
  • Shift Template Data Access Profiles — Specify the shift templates that users can access. Before you create the profile, configure Shift Templates in Scheduler Setup.
  • Report Data Access profiles - Specify the reports that users can access. The All Reports Data Access Profile provides access to all present and future reports.
    Note: Do not name the profile "My Report" or include reserved characters in the profile name.
  • Work Rule Data Access profiles — Specify the work rules that users can access. Before you create the profile, configure work rules in Pay Policies Setup.
  • Paycode Data Access profiles — Specify the pay codes that users can access. Before you create the profile, define pay codes in Pay Policies setup.

To create a Data Access Profile

  1. Select Administration > Application Setup > Access Profiles > Data Access Profiles.
  2. Select a Data Access Profiles option:
    • Schedule Groups
    • Pattern Templates
    • Shift Templates
    • Reports
    • Work Rules
    • Pay Codes
  3. On the Data Access Profile page, click Create.
  4. Enter the Name and Description.
  5. Select items from the list.
  6. Click Save.

Configure Data Access Profiles for Scheduler

Use data access profiles to configure employee access to data.

For scheduling, set data access profiles for templates, groups, reports, work rules, pay codes. For example, data access profiles can display only relevant schedule groups and templates to employees.
  1. Select Administration > Application Setup > Access Profiles > Data Access Profiles.
  2. Select one of the following:
    • Schedule Groups
    • Pattern Templates
    • Shift Templates
    • Reports
    • Work Rules
    • Pay Codes
  3. Click New profile, or select an existing profile and click Edit or Duplicate.
  4. Enter a Name and optionally a Description.
  5. Add or remove items in the profile:
    • To add items, select items from the Available box and click the right arrow to move them to the Selected box. (Use the double right arrow to select all items.)
    • To remove items, select items from the Selected box and click the left arrow to move them to the Available box. (Use the double left arrow to select all items.)
  6. Click Save & Return.

When finished, assign data access profiles to people in People Information:

  1. From the Main Menu, select Maintenance > People Information.
  2. Select the appropriate person from the list and go to Manager Role-General.

  3. Select the appropriate profile from the drop-down list.

  4. Click Save.
