Configure General Ledger Mappings

Configure the mapping of general ledgers to payroll attributes — such as location type, labor category, or cost center — to send to the payroll system.

  1. Make sure that General Ledger Mapping is set to Allowed in your FAP; see Configure Access to Integrations.
  2. Select Main Menu  > Administration > Application Setup > Integrations Setup > Payroll Setup > General Ledger Mapping.
  3. Select General Ledger Mapping. Click Tap Edit .
  4. Do one of the following:
    • Click Tap Create .
    • Select a mapping. Click Tap Edit . The changes will be saved to all installations of the current mapping.
    • Select a mapping. Click Tap Delete Click Tap Yes to confirm.
  5. In Input Type, select Location Type, Labor Category, or Cost Center.
  6. In Type Value, select one of the following according to the Input Type:
    • Location Type: Select Area, Business, Business Location, Company, Department, District, Job, Regions, Site, or Subarea.
    • Labor Category: Select one of Labor Category 1 — 6.
    • Cost Center: Select Cost Center or enter the cost center in Search.
  7. In Input, select the items to map. Select either of the following:
    • Basic (default): Select items from the business structure

      The available selections vary depending on the Input Type and Type Value.

      Alternatively, select the asterisk (*) wildcard to select all jobs or labor categories.

      Example: Map the Engineering department to output code 123, but select the asterisk to map all other departments to one row without the need to map each department. Because the most common mapping is to the description of the department, new departments are added to the business structure in readiness for payroll.

    • Advanced: Specify items directly or across the business structure. Do one of the following:
      • Enter the business structure path to the job.

        Example: Enter Organization/Region/Site/Location/Department/Job.

      • Enter the path but use one or more asterisks (*, **) as wildcards to specify jobs or labor categories regardless of the hierarchy of the business structure.

        Examples

        A company needs to track expenses for a department across multiple locations under the same general ledger account. Rather than add all instances of that department throughout the business structure, use a wildcard to specify the name of the department without specifying the hierarchy.

        To map all versions of the same job in a department, enter Organization/Region/Location/Department-01/*.

        To map all versions of the same department at any location in a region, enter */Region/*/Department-01.

        To map all versions of the same department regardless of location, enter */Department-01.

  8. In Output, map the input to one output or a combination of outputs. For each Output, do the following:
    • Select Setup to use static values, or Value to use variable values from the current configuration: location description, generic job description, generic job title, generic job code, or labor category entry description.
    • Select Name.
    • (Optional) Enter a Description.
    • Repeat for other outputs.
  9. Enter a Sort Order.
    • This field is required.
    • The value must be unique.
    • Lower values take precedence in sorting.
    • The value cannot be 0 (zero), negative, or longer than 19 characters.
  10. Click Tap Save.

    Caution: Once a General Ledger Mapping is saved, you cannot edit the Input Type or Type Value of that mapping. To change either setting, create a new mapping with different settings.

  11. Repeat for another mapping.
